Duties

  • Ensures security measures are maintained at all times.
  • Ensures guest privacy is maintained at all times.
  • Must possess a welcoming manner and positive attitude, demonstrate effective communication skills, professionally interact with guests, answering guest questions concerning vacation rental and base facilities; and provides information about local attractions.
  • Provides assistance in handling customer complaints, involving management as necessary.
  • The function of the position is to supervise all front desk operations and reservations including cashiering, reservations, and room assignments to maximize occupancy.
  • Supervises four or more NF-2 Front desk personnel.
  • The incumbent trains, instructs and supervises personnel assigned to the front desk both in the formal training setting and on-the-job training.
  • Plans and schedules ongoing production oriented work for all front desk personnel on a daily, weekly, monthly, and quarterly basis adjusting staff levels as required to meet the workload demand.
  • Participates in hiring front desk staff and makes selections for positions, evaluates and counsels staff, completes performance evaluations, approves leave requests, resolves employee complaints, and recommends performance awards.
  • Addresses potential disciplinary and/or performance issues timely and takes appropriate, corrective actions(s) as necessary under the guidance of Human Resources.
  • Supports CNIC's Equal Employment Opportunity (EEO) policy; fosters a work environment free of discrimination, harassment, and /or reprisal; ensures all subordinate staff understand and adhere to the policy; and ensures treatment of all staff is fair and equitable.
  • Reviews reports from the Night Audit concerning occupancy, vacancy, all accounting system and other related areas. This includes statistical analysis, reporting procedures and analyzing audit reports to ensure accountability of personal and revenue.
  • Responsible for maintaining accounts, preparing statements, posting payments and charges, collecting delinquent payments, developing and implementing checks and balances to insure proper handling of accounts.
  • Must be skilled in the use of a personal computer and various software programs, including reservation system software such as Epitome or other major systems.
  • Assists General Manager in creating the annual budgets predicting expenditures, revenue and industry trends, developing a budget from this information, determining the needs of the facility and its programs and making decisions on how funds will be distributed within the facility
  • Will work nights, weekends and holidays depending on need of coverage of front desk.
  • The incumbent will cover the duty phone (after hours urgent phone for guests to call) on a rotational bases when General Manager is unavailable.
  • Acts as the resident expert for the reservation operating system Epitme, Core and Fusebox.
  • Utilizes system to access guest information, retrieve reservation information, change or cancel reservations as requested by guest, or register guests. Verifies the registration information, secure credit card. Provides guests with their room key.
  • Reconciles room status with the housekeeping report. Coordinates with the housekeeping department to ensure rooms are ready for occupancy.
  • May be required to run/print and interpret various reports from the reservation system, such as accounts receivable reports, expected arrivals, departure list. In-house guest list and night audit reports.
  • Performs all front desk related duties as required.
  • Performs other duties as assigned.

  • Must meet Federal Employment suitability requirements and successful completion of background investigation. Background investigations are conducted using fingerprint identification and completion of background inquiry forms.

  • Incumbent is subject to work an uncommon tour of duty to meet program requirements including evenings, nights, weekends, and holidays. This may include working overtime, as necessary to meet mission requirements.

Qualifications

Specialized experience directly related to the duties described above. Qualifying experience must have been equivalent to the next lower level in the normal line of progression.

Specialized experience must demonstrate the following:

  • Knowledge and expertise that demonstrates principles, concepts, standards, regulations and administration related to hospitality operations.
  • Professional knowledge of the lodging organization, administration, policies/procedures, and supervisory practices in conducting day-to-day operations.
  • Knowledge of military MWR and/or NAF procurement, personnel, and funding.
  • Knowledge of NAF budgeting and activity level financial management.
  • Manage and supervise the functions of front desk operations; reservations using systems such as Epitome and Core for site restrictions; both online and call center booking; Fusebox for daily night audits and provide superior customer service to guests.
  • Independent judgment is required to determine the appropriate response to operational and administrative issues that arise when the General Manager or higher management is not present.
  • Knowledge of basic cash handling procedures.
  • Knowledge of CNIC's EEO policy and procedures.
  • Ability to work effectively with subordinates, supervisory and management officials and patrons.
  • Ability to operate a personal computer and perform basic word processing and spreadsheet tasks using Microsoft and site-specific software.
  • Ability to develop and effectively deliver presentations and/or training.
  • Ability to perform the full-range of supervisory duties.
  • Ability to communicate effectively both orally and in writing.
