INTRODUCTION: The position is located within the Family Advocacy Program (FAP) Behavioral Health Program (BH) Marine and Family Programs Branch, Marine Corps Community Services (MCCS) Division, Camp Smedley D Butler, Okinawa Japan. The purpose of the position is to provide a variety of administrative support and program management assistant duties crucial to the operation of the BH-FAP. The incumbent will support the FAP Director by performing a wide range of program support work to ensure an efficient office operation and ensure program compliance.
DUTIES AND RESPONSIBILITIES: Provides direct support to the FAP Director. Coordinates and performs a wide variety of responsible administrative functions in support of upper level management functions. May serve on a variety of advisory committees.
Plans, coordinates and carries out operational/administrative duties pertinent to the BH-FAP program. Develops and coordinates all support requirements for the administrative operation of the program. Assists in ensuring the program is compliant with HQMC requirements and standards. Works with BH-FAP staff to ensure processes required by the Director are carried out within the expected time frames.
Reviews and interprets directives and regulations. Maintains official files/records. Advises staff on development and implementation of local administrative directives and procedures. Develops internal policies, procedures and work methods affecting administrative management operations. Reviews and revises documents submitted by supervisors and managers for Naval Correspondence compliance. Enforces and trains employees on proper Naval Correspondence rules and correct grammar, spelling, capitalization and punctuation. Prepares reports and other documents utilizing Naval Correspondence standards and/or other applicable templates/critera. Types accurately and error-free correspondence, reports or similar materials. Ensures correct grammar, spelling, capitalization, punctuation, and appropriate format in work prepared by self and other staff members. Collects, compiles, and organizes information and data to meet administrative requirements. Drafts instructions for FAP Director review. Facilitates methods for automating reports and correspondence that will result in increased efficiencies. Uses a PC to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations. Formulates data to meet presentation and report requirements.
EVALUATIONS:
BASIC REQUIREMENTS:
A 2-year degree from an accredited college or vocational school and 2 years experience in fields related to duties of the position being filled, OR 3 years experience in performing administrative duties for upper-level management positions in a large customer-oriented organization that demonstrates knowledge of administrative management and ability to apply this knowledge in various work operations, OR equivalent combination of education and experience.
