Clerical and Office Support
Manages the daily operation of functions and continuity of workflow for Police Service staff. Maintains appointments, calendars, schedules appointments, coordinates meetings, and schedules conferences.
Receives and refers visitors, employees, students and telephone calls to the Police Office, ascertaining the nature of requests and directing the callers/visitors to appropriate staff or personally providing the information desired when routine or procedural matters of the office are involved. Searches for and selects from the available documents the most pertinent information to the question or issue raised.
Arranges records for storage/reference, scheduled disposition, and retrieval. Performs general filing including the use of alphabetical, numerical or chronological filing systems to file reports, correspondence, records, publications, regulations, directives, and similar material. Reviews and improves file methods, procedures, and systems such as adapting or changing established file procedures. Maintains the Police Services Records Control Schedule (RCS) file system.
Processes and submits Central Violation Bureau Notices (federal tickets) and tracks court dates.
Functions include purchase card holder (place and reconcile orders).
Manages work schedules and unit time keeping responsibilities. Generates reports as required to determine overtime expenditures, leave use patterns and areas where savings can be improved.
Maintains the Police Service budget and fund control points to ensure the department does not exceed the fiscal year funding allocations. Functions as the Electronic Computer Access Request System (ECARS) and Just In Time coordinator and maintains employee's access to VA electronic systems.
The incumbent works closely with the Human Resources office and serves as liaison for the Chief of Police Service, officers and staff. The incumbent maintains, position descriptions functional statements, competency files for all police services staff, proficiency evaluations, and organizational charts; prepares requests for personnel actions.

Manages security access program, maintains database, and issues PACS smart cards and identification badges for personnel other than VA employees. Explains parking program and Physical Access Control System (PACS) requirements, processes applications, and enters data into electronic systems. Clears departing employees from access systems.
Mail, Correspondence, and Reports
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Performs the following types of duties: composes letters and reports. Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information, including correspondence from Congressional members requesting information on behalf of their constituents and Freedom of Information Act (FOIA) requests, such as police reports and surveillance video. Receives, assigns, and monitors externally and internally generated correspondence and inquires. Types and prepares letters/correspondence, creates reports, memoranda, and other general office documents using basic word processing software. Position searches, retrieves, verifies, and then summarizes hard-to-locate data. Accepts mail and other deliveries.
Office Supplies & Equipment
Obtains and monitors the use of service supplies or equipment for the office. Justifies and requests replacement for outdated equipment by identifying the outdated equipment, gathering relevant information on office and police equipment, or requesting office equipment for own work area. Orders and maintains all office and police supplies whether stock items or special orders. Processes all work orders as necessary for equipment repairs and facility maintenance needs. Maintains equipment inventory lists.
