Duties
Major Duties:
- Creates authorization for payment of community care in the HealthShare Referral Manager (HSRM) or alternative software system with pertinent information including the community provider's name, address, category of care, referral number, program authority, and length of authorization.
- Provides administrative support to ensure all pertinent information is transmitted to appropriate parties for community care that is authorized under any other funding source.
- Electronically uploads all pertinent clinical and administrative data into HSRM.
- Maintains awareness and proficiency in all web-based application to include, Provider Profile Management System (PPMS), Consult Tracking Manager (CTM) and third-party administrator portal.
- Serves as an administrative point of contact in the request, coordination, and authorization for community care consults.
- Works collaboratively with VACC Registered Nurse (RN) Patient Care Coordinators, VACC Program Analysts, other VA staff and Community Care providers.
- Receives, handles, and transfers calls appropriately with regard to telephone inquiries from numerous sources including Veterans, other VA staff and community provider's concerns including but not limited to: authorization terms, appointment status and billing/claims status.
- Prepares correspondence to send to community providers that includes details about the terms of the authorization, appointment date and time, and all pertinent clinical data as instructed by the RN Patient Care Coordinator. Prepares correspondence to send to Veterans that includes details about the terms of the authorization, including the provider's name and location and appointment date and time.
- Requests medical records from community provider using StreemPrint fax or other electronic request program. Triages records and distributes them appropriately to Patient Care Coordinators via the StreemPrint electronic shared drive for upload to the patient electronic health record.
- Inputs or edits community provider information into VistA or other pertinent system as requested by Pharmacy Service.
- As assigned, performs back up timekeeper duties for the VACC T&L.
- Performs all other duties as assigned.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
