Duties

Help

The incumbent of this position serves as a personal assistant to the Research Leader (RL) and other professional staff, coordinating a wide variety of administrative and clerical tasks essential to the program administration of the Management Unit. Provides technical and procedural advice in support of research program administration by identifying and analyzing issues and taking or recommending action using established guidelines. Serves as the initial point-of-contact for all questions, information, and problem resolution in the areas of budget and accounting, agreements, travel, human resources, files management, correspondence preparation and control, time and attendance, office automation systems, and purchasing/procurement.

 
Major Duties may include, but are not limited to:

  • Advises on appropriate time-frames for the approval of new projects or the termination of old projects.
  • Screens incoming calls and visitors and answers questions regarding established policies or routine matters.
  • Applies software to materials involving complex formats.
  • Prepares, maintains, and transmits Time and Attendance (T&A)  reports using an automated system.
  • Performs the following travel and scheduling related tasks: prepares staff travel requests and vouchers, ensures adherence to travel regulations, arranges stay and travel logistics, advises staff on travel allowances, etc.
  • Processes financial, procurement, and extramural agreements
  • Uses electronic calendars, databases and spreadsheets to document employee leave schedules and staff appointments.
  • Advises employees on procedural and documentation requirements for progress reports, proposals, travel and cooperative agreements.

At the GS-05:

Qualifying experience for GS-05 includes one year of specialized experience comparable to GS-­­­­04 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience assisting with the preparation and tracking of budgeting and accounting forms; maintaining detailed records of purchases necessary for an office environment; and supporting the coordination of travel logistics for staff and supervisors.


OR

Education Substitution: Successful completion of four additional full academic years of study above the high school level.

OR

A combination of education and experience as described above.

Must be able to type 40 words per minute.
